Mandatory information required to use Voluntarily.nz

The only mandatory information required to use the site is a full name and validated email address. Steps may be taken to ensure the email address represents a real person.

Optional personal information

At any time you can amend, correct or remove the information on your profile.

In order to enable direct communication with activity organisers we ask for a contact phone number. This is only made available to organisers once you have committed to the activity.

In order to link you up with your highest impact volunteering opportunities, and also to allow organisers to find the best people for their events, we invite you to share personal information about yourself including a short profile about yourself, photo, city/region, job, skills and interests. This information will be visible to other platform members on your profile.

In order to encourage the building of a volunteering community and to share stories about your volunteering achievements, we invite you to share social media links. We won’t post directly to your social media but this would allow others to ‘tag’ or follow you in their own postings. To avoid this leave these fields blank.

To set up events for success we invite you to tell us about any accessibility issues and food sensitivity/preferences that may affect planning or choice of venue. This information is not public on your profile and is made available only to activity organisers.

To ensure we address you appropriately in communications we invite you to share your preferred pronouns e.g. he/him/his, she/her/her. If none is provided we use the neutral they, them, their.

The information generated by using the site services

Interests and Attendance: To allow the site to operate we track which volunteering opportunities you are interested in, get invited to and attend. This information is visible to event organisers.

Follow and Membership: In the case where you are volunteering as a member of a business or organisation, e.g using a corporate volunteer day, we will associate your Voluntarily account with that of that organisation. This will give access to your profile and volunteering history to the designated organisation administrator.

In the case where you follow an organisation (school, activity provider or business) your name, image and email address will be available to the administrator for that organisation and may be used for communication purposes such as invitation and news emails.

Demographic information

We do not collect or publish personal demographic information on the site. However, in order to ensure our service is fair to everyone, we may from time to time ask members to participate in third-party surveys that ask questions about gender, race, income, job sector etc. Such surveys will be optional, independent and the resulting information only published in statistical summary form.

No information provided by you or third parties about your profile on the site or individual volunteering activities will be sold or otherwise made available to third parties.

Public forums

The site may, from time to time, make chat rooms, message boards, newsgroups and/or other public forums available to its users. Any information that is disclosed in these areas becomes public information and you should exercise caution when using these and avoid posting any personal information

Child safety

The site is intended for use only by persons who are at least 16 years of age. By using the site, you confirm to us that you meet this requirement. If you are under the age of 18, you confirm you have received permission from your parent or guardian before using this site or sending us personal information.

Information we collect about you from your use of our site

We will automatically collect information from you each time you visit our site. This includes:

Technical information may include the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, operating system and platform;

Information about your visit may include the full Uniform Resource Locators (URL), clickstream to, through and from our site (including date and time), page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), methods used to browse away from the page, and any phone number used to call our customer service number or social media handle used to connect with our customer service team.

Location data - IP addresses are collected and the location is inferred based on IP location.

We will use this information in our legitimate interests, where we have considered these are not overridden by your rights:

  • To administer our site and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes.

  • To keep our site safe and secure.

  • To improve our site to ensure that content is presented in the most effective manner for you and for your computer.

  • To allow you to participate in interactive features of our service, when you choose to do so.

Information we receive from other sources.

This is information we receive about you:

  • From the Auth0 identity management system

  • From other third parties we work with.

Auth0 Registration and Sign-In

In order to use the Voluntarily.nz platform, you must sign in and create a profile. There are three ways to register:

  1. Create a new registration using an email and password.

  2. Sign in using an existing social media account - Google, Twitter, Facebook, GitHub, LinkedIn etc.

  3. Sign in using an enterprise single sign-on account. Only for specific businesses that have been integrated into the platform.

Registration and sign-in are managed by a third party identify management system Auth0. https://auth0.com/. Auth0 Privacy policy is at https://auth0.com/privacy

When you sign in we receive information about the sign-in source, username, nickname, email, email validation, picture and expiry. This information is retained only during the lifetime of your signed-in session and is not stored in our database. We do not receive any more detailed social media information.

When you sign in with an email associated with an organisation on the platform we will identify you as a member of that organisation.

Cookies and other technologies

Our site uses cookies only to store information about your sign-in session.

Cookies are pieces of information or code that a website transfers to or accesses from your computer hard drive or mobile device to store and sometimes track information about you. Cookies and similar technologies enable you to be remembered when using that computer or device to interact with websites and online services and can be used to manage a range of features and content as well as storing searches and presenting personalised content.

Our site uses cookies and similar technologies to distinguish you from other users of our site. This helps us to provide you with a good experience when you browse our site and use our service and also allows us to improve our site. You can object to further marketing at any time by checking and updating your contact details within your account, or selecting the "unsubscribe" link at the end of all our marketing and promotional update communications to you.

Payment processing

No payments are required to participate as a volunteer on the Voluntarily platform. We do not ask for or store any payment processing data.

Who we give your information to

Storage and Transmitting information.

The data that we collect from you will be stored in Australia and New Zealand.

All information you provide to us is stored on our secure servers all communications between your browser and the service and the service and database are encrypted using secure sockets layer (SSL) technology before they are transmitted over the internet.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorized access.

Our site may, from time to time, contain links to external sites. We are not responsible for the privacy policies or the content of such sites.

How long we keep your information

We retain personal data during any period in which you have expressed an interest in using the platform, for as long as you have an account with us in order to meet our contractual obligations to you, and for six years after that to identify any issues and resolve any legal proceedings. We may also retain aggregate information beyond this time for research purposes and to help us develop and improve our services. You cannot be identified from aggregate information retained or used for these purposes.
