Scope:Explore principal onboarding onto the V platform


Assuming a school has been pitched and sold on the platform, how does the principal sign up?


    • How do I prove that I’m the principal?
      • Matches the school email ending e.g. @mcauley.school.nz
      • Matches the school database
        • Issues - school email doesn’t match database e.g pamaka@tamaki.ac.nz and admin@tamaki.ac.nz 
        • Send an email with a personalised login to each principal’s listed email they can later use to access principal-only info? - This might be good because they can verify to explore, rather than verify when trying to sign up later on. 


  • What if they delete the email or it goes to spam?
  • Button on the site to request a new email - select the school, we supply the email address (they don’t get to choose). 
  • What if the email on the database doesn’t match the one they actually use?


      • Verification step
        • Could be solved if it matches the database one.. 
        • To their email
        • To their phone number
        • To the school admin email that isn’t linked to the principal of the time? 
    • How do I do all the policies / health and safety / privacy etc legally?
      • How do I accept the terms/conditions that Voluntarily will take the responsibility of screening the volunteers?


  • Memorandum of understanding (DIA approval?)


        • Alongside the Board of Trustees
          • Forms for the board? 


  • It must be the board that signs because what happens if the principal leaves the school? Does the contract become void? 


    • What information does the principal need to supply?
      • Memorandum of understanding (DIA approval?)
        • Legally signing off that.. 
          • The school or principal themselves aren’t liable for the volunteers?
          • Who is responsible for everyone’s safety during events? (e.g. rocket launch - where does the responsibility / liability lie?)
    • What information does an admin / someone in the school need to provide before the account for the school can be activated?
      • Where to park (and/or a map)
      • Where to report on arrival
      • School visitor sign-in procedure
      • Who to contact if they can’t make it on the day
      • Dress code
      • Code of conduct around students
      • Emergency procedures (fire and lockdown)
      • Social media / image rights of students / privacy
      • Legal rules for interacting with students on the day / after / online
    • How do I onboard my teachers? 
      • Can I request someone to come to school and tell them about it?
      • Are there videos to watch?
      • Can I dump it on someone else in my school to be responsible for all this? 
        • Can I nominate others to have access to the principal’s/admin access in case I leave the school / am away?


  • Is there a trial run we could do / trial period / example we could see? Board of Trustees might ask something similar. 


    • How do I know if there are volunteers in my school at any given time?


  • Do they want to be notified when a volunteer will be in the following day? (Helen type person might want to know this) 
  • Principals are busy peeps, they probably don’t want to be disturbed by emails all the time but would like to know they can check if they want: 


      • Volunteer register 
      • Volunteer calendar
        • Invites to volunteering events inside the school?
    • How do I know how often it’s being used? (stats/data)
      • See how many teachers have signed up
      • See how many events have been asked for - and what, and by which teachers
      • See how many hours of volunteering has been completed in their school
      • See which people are giving their time - where are they from, what are their skills
    • How do I know it’s working?


  • What is “working?” Successful events / kids learning / kids happy / challenged / lightning staff workload / upskilling staff?


    • Staff voice?
    • Student voice? (surveys?)
  • How do I escalate issues? (volunteers / content / etc) 
    • What sort of issues could be escalated?
    • Who does it go to?
    • How will I be informed of what action is being taken?
    • What sort of procedures are there? 
    • What will be required from me or my staff?
