This privacy notice lets you know how the Voluntarily.NZ will protect and manage all personal information we hold.

This is a general notice that covers the privacy practices across the Voluntarily Platform, including at our premises and on our websites and databases.

Personal information

Personal information is any information that identifies a person. To be a volunteer on Voluntarily you must be a real person (you cannot be anonymous or use a fake name).

When you register with Voluntarily you will need to enter some personal details. These are under your control and you can decide how much you want to share.

The mandatory information we collect includes:

  • name and contact details (eg, phone number, email address )

Optional information includes:

  • Avatar / personal image

  • preferred pronouns

  • educational level

  • job title and organisation

  • social media handles

  • skills and interests

Some volunteering activities require a higher level of identification information and completion of a Police vetting process. This ‘School Safe’ information includes

  • Date of Birth

  • Address

  • Full Name

  • Photo ID - passport or Drivers licence.

This information is handled by a separate verification service and is not retained as part of your personal profile or kept in Voluntarily Databases.

After participating in an Activity you may choose to share with the organiser and other volunteers feedback, images and other content associated with the activity that you have posted on other social media sites. This information will be publically visible to people viewing the activity page.

Collecting your personal information

We collect your personal information to:

  • verify your identity

  • make recommendations to you for volunteering activities

  • correspond with you

  • allow people running activities to learn about who will be working with their children and young people.

We generally collect this information directly from you.

If you sign into Voluntarily.nz using social media authentication (Facebook, Google, Twitter etc) We receive information from that service about your identity

Specifically:

  • nickname

  • email address

  • avatar

You don’t have to provide any personal information to us but if you don’t, we may not be able to determine whether you’re eligible for our services.

Sharing your personal information

Your personal profile on Voluntarily is not open to the general public. It may be viewed by signed-in activity organisers when you express interest or are invited to participate in an activity. You may share your profile with other volunteers and it may be viewed by the admins of any organisations that you follow or become a member of.

Voluntarily will provide reports on volunteering engagement and impacts to organisations using the platform and Agencies such as the Ministry of Education as part of our sponsorship requirements. These reports contain only aggregated statistics and will not identify individual volunteers.

At all other times, we’ll only disclose your personal information if you allow us, or if we are required to by law.

Looking after your personal information

We take all reasonable precautions to protect personal information we hold from misuse, loss, unauthorised access, modification or disclosure. We do this by:

  • Not holding data on local devices or on voluntarily premises.

  • storing information in access-controlled systems and limiting staff interaction with data

  • ongoing auditing of our use of personal information

  • providing training on the Privacy Act to all our staff.

When you contact us, we may create a profile of you in our customer relationship management system. The profile will hold the information we have collected from you and the information you have provided us. This includes your contact details and details of all our communications with you.

Accessing your personal information

You have the right to request access to any personal information we hold about you, and to ask for it to be corrected if you think it is wrong. If you would like to request your information or seek corrections, please email us at privacy@voluntarily.nz

Privacy on our websites

Any personal information you enter into our websites will be encrypted while in transit from your browser to the hosting environment in Australia. The hosting provider is not permitted to access or use the information for any purpose other than managing this website for us.

We collect information about all visits to our websites, including the:

  • IP address of the device being used

  • type of browser being used, eg, Internet Explorer, Chrome, Firefox

  • type of device, eg, PC, laptop, phone, tablet.

Our systems remove any information that might identify you and send the rest to Google Analytics. We then use Google Analytics to get information like:

  • how many people are on our website

  • what page of the website was visited most in a given time period

  • the location people are connecting from

  • what types of devices are being used.

We use ‘cookies’, which are record-keeping tokens that are stored on your device when you visit our website. Cookies are only used to maintain your signed-in session and to allow the platform to operate. We don’t use tracking cookies.

If you do not wish to receive cookies from Voluntarily.nz, you can set your browser to refuse them or to warn you when you are about to receive one. Turning off cookies will prevent you from staying signed-in to the platform.
